Previously, administrators at TFCU manually tracked and entered time off requests, balances and accruals through paper trails and Excel spreadsheets. According to Debra Jackson, Vice President of Human Resources and Support at TFCU, one person was responsible for manually tracking all employees’ time off. Then, ten managers had to manually track their own time off because there was no centralized mechanism to access current time off statuses. Over time, it became apparent that their in-house paper trail method was “burdensome.”
“Requests weren’t always documented, resulting in incorrect data. We had to try and rely on internal emails such as ‘Deb J. is gone for the day’ to make sure we then got a paper form that was approved by the manager,” explained Jackson. “Managers did not have access to their direct reports and time off status when they needed it. There was a lack of an easily accessed, current calendar of current time off for approving requests and taking member service coverage into consideration.”
Transitioning from traditional time off to Paid Time Off, the company needed to find an efficient solution to remove all vacation tracking obstacles and ensure a successful shift into PTO.
For six months team members from HR, Payroll, Management, and Operations at TFCU evaluated several possible solutions.
