Assigning tasks to team members

Assigning a task to a team member allows them to enter time and expenses against that task. There are two ways to associate tasks with team members, from the Tasks tab or from the Team tab.

Refer to Adding tasks to your project for information on using the search field to filter the list of tasks.

For each project, you can choose whether each newly-added team member is assigned all of the existing project tasks, or no tasks. Refer to Can we assign new team members to all tasks for all projects by default? for more details.

Assigning resources to a task

If you’ll be assigning only one or two tasks to many team members, it’s more efficient to assign resources to tasks using the Tasks tab.

To assign resources:

  1. Go to Projects > Projects, and click the name of the project. Or, create a new project.
  2. Click the Tasks tab.
  3. Click the icon for the task you want to assign resources to.

  1. Click the check box beside each team member you want to assign to the task. If date fields are available, enter the date ranges when each user will be allocated to work on the task.

  1. Click Done.

Assigning tasks to resources

If you’ll be assigning many tasks to few team members, we recommend assigning tasks to resources via the Team tab.

To assign tasks:

  1. Go to Projects > Projects, and click the name of the project. Or, create a new project.
  2. Click the Team tab.
  3. Click the Assign to Task link under the team member’s name.

  1. Select the check box beside the name of each task the employee should be able to enter time and expenses against.

  1. Click Done.

FAQs

Should we assign tasks or team first?

It depends.

All existing team members will automatically be assigned to any tasks you add.

But, if you add a new team member after creating tasks, you can choose whether they are assigned to all tasks or no tasks, on a per project basis.

If you have automatic assignment to no tasks enabled, you will save time by adding the project team first.

How do we assign the top, project-level task to resources?

You don’t have to. All project team members can enter time and expenses against this ‘task’ by default, providing the Allow Time Entry against Task Only check box isn’t enabled for the project.

What’s the difference between assigning and allocating an employee to a project?

Allocations are only available if you’re using RepliconPSM, RepliconPPM, Professional Services Automation, or Project Portfolio Management. When you assign a resource, you can choose what tasks they are allowed to work on. When you allocate a resource, you can choose when they work on any given task.

Why is there no Assign to Task link for departments and ‘All Users’ on the Team tab?

The Assign to Task functionality is only available when assigning tasks to a single employee. Use the Tasks tab if you want to assign a task to a department or to ‘All Users’.

Can I assign resources at the project level rather than at the task level?

Yes. You can assign resources at the project level. For more information, see Allocating a resource to a project.
