To reopen, resubmit, approve, reject or delete approved time off booking / waiting time off booking of a past or historic date, follow the steps given below:

  • Log into Web TimeSheet as the administrator.
  • Select the Administration tab from the top menu bar.
  • Select Historical Time Off from the left pane, under the Shortcuts category.
  • Search for specific user's first or last name in the search box below, to look for the user's time off bookings, which then can be sorted based on the time off type or time off booking start date or time off booking end date etc., at the right panel.
  • Once the time off booking has been narrowed down, highlight the time off booking and click the necessary action buttons at the bottom or the buttons adjacent to the time off booking (The green icon with a check mark on it represents Approve, the red icon represents Reject and the red icon with an X mark on it represents Delete).

  • Log into Web TimeSheet as the administrator.
  • Select the Administration tab from the top menu bar.
  • Select Historical Time Off from the left pane, under the Shortcuts category.
  • On the Historical Time Off Bookings page, click the Add button at the bottom.
  • On the next page, select the time off type from the Time Off Type drop-down.
  • Select the name of the user for whom the time off booking is to be committed, from the User Name drop-down.
  • Choose a Start Date and End Date range.
  • Select if the time off booking is Full Day Off, Half Day Off, Quarter Day Off or Partial Day Off, from the drop-down next to the Start Date.
  • Fill in the comments in the Comments box, if any.
  • Click the Submit at the bottom.

  • In Web TimeSheet, a regular timesheet user (employee with access only to timesheet and time off) can't edit their time off booking unless the requested time off date ranges are in the future. If the approved time off booking is in the past then, only a Web TimeSheet administrator can either delete, reject or edit the time off booking. Web TimeSheet release introduces a new feature that will allow users to edit their own approved bookings for time off that occurred in the past by assigning them Time Off > Submit time off bookings > Edit/delete past time off bookings permission. With this permission, users are allowed to edit any booking associated with a timesheet for which approval has not yet begun. If a timesheet is partially or fully approved, they can still edit a booking for that timesheet period by first reopening the associated timesheet, provided they have Allow reopen of timesheet after approval permission. Users can edit bookings via their time off calendar, or via their My Time Off Bookings page. Edited bookings and reopened timesheets re-enter the approval process from the beginning.
  • The administrator can make the necessary changes to the time off booking and directly approve it or choose to submit the time off booking which again goes through the approval process defined in the system.
  • Reopening, editing and approving the time off booking will trigger the 'Time Off booking is approved' email notification from Web TimeSheet to the respective users. If users must not receive duplicate e-mail notifications during the process of editing and re-approving time off bookings, then click here to review the steps on how to disable specific email notification for a user. After editing and approving the time off booking again, enable these email notifications back in the user profile.

Unlike Historical Timesheets and Historical Expenses, Historical Time Off in Web TimeSheet does not have specific filters however, to easily and quickly manage the time off booking, avail the Departments list and Search functionality on the page:

  1. Department: Pick a department from the left pane and all the time off booking pertaining to that department is listed.
  2. Search: The search functionality has the following various options, through which the booked time off can be filtered,
  • First Name
  • Last Name
  • Employeed ID
  • Department
  • Approval Status
  • Timeoff Type
  • Start Date
  • End Date

Time off bookings can be sorted in ascending or descending order by clicking on the individual Column Headers at the top.
