Adding additional categories using tags

Tags let you assign resources and projects to ad hoc categories by adding new categories as you require them.

You can create and reuse any number of tags across resource profiles and project pages. You can also use a tag as a filter on the resource list or project list pages, and view, share, and export them using reports.

Structure of a tag

A tag has two fields: a key and its value.  For example, Ready to Travel or Critical Project as key with value as Yes.

To the resource manager, tags help find resources matching project requirements. For example, when a resource manager searches for resources with required technical expertise and experience, along with willingness to travel, the resources tagged Ready to Travel appear higher in the resource allocation results because they best match the resource request criteria.

To the project manager, tags assign projects into new categories. For example, a project manager can assign the tag Critical Project to projects that need closer monitoring and more active management because they are behind schedule. He or she can filter the projects list by the tag, for reviewing.

Adding a tag

To add a tag:

  1. Go to Resources > List or Projects > List.
  2. Click the resource name or project name to which you need to add a tag.
  3. Click the Edit button located on the top-right corner.

  2. In the Tags dialog that displays, click

  1. Enter (or select) a name for the category in the Key You can, for example, enter Ready to Travel, then click the Create tag... confirmation that displays.

  1. In the Value field, enter the value for the key. For example, for Ready to Travel, you could enter Yes.

  1. If you selected a previously added key, you can simply select the value that displays in the drop-down, or add a new value like No.
  2. Click Save.

FAQs

Do I define the key and its value somewhere else in the app before they display in the drop-down menu?

No, you don’t need to access any administrative section to add keys or values for a tag. You can create the tags then and there. Just click the Edit button of the resource profile (or the project) and create the tag.

Why isn’t a new tag I created showing in the list?

A new tag you created is available across resource profiles and projects only after you click the Save button in the Tags dialog. If you do not click the Save button, the tag is not assigned, and therefore the tag is not available in other projects or resource profiles.

What advantages do tags have over groups? 

Polaris offers six customizable group types (e.g., departments, locations, or divisions) that you can use to categorize projects. These are usually permanent and stable over time. However, tags allow you to categorize projects into any number of new categories. In addition, only administrative users can manage and create groups, while tags are accessible to project managers and resource managers directly.

Can I define multiple values for a key?

After you define a tag’s key and value the first time, you can define new values to the same key, when applying the tag to other resource profiles or projects.

As you keep defining new values they are stored and made available in the Value drop-down, the next time you add the tag.
