Setting up job-based scheduling

This topic relates to our new job-scheduling feature. If you're looking for help with our older scheduling functionality, please refer to Scheduling your employees (legacy scheduling).

Replicon administrators need to do a few things to ensure job-based scheduling is ready to use by schedule managers.

Assign licenses and permissions

Schedule managers need to be assigned the following in their user profiles:

  • A Workforce Management license
  • The Schedule Manager role

Plus, they need the following enabled in their Schedule Manager permission set:

  • Schedule and Shift Job permissions

Permission to view skills, costs, and the Attendance Monitoring component are also typically assigned, but can be disabled, if desired.

Shift workers need to be assigned the following in their user profiles:

  • A Workforce Management license
  • Their schedule type set to Shift Schedule in on the Schedule tab

With these assigned, users will be available in the Schedule section of Replicon.

Create shifts

Each job schedule that schedule managers create includes one or more shifts, comprised of one or more roles that need to be filled.

Administrators are responsible for adding the shifts schedule managers can choose from. Or, you can assign schedule managers a limited administrator role, with only Shifts permission enabled, so they can create the shifts they need directly.

Create roles

Each shift a schedule manager adds to a job schedule includes one or more roles that need to be assigned to users to complete the job.

While schedule managers choose which roles are required, administrators typically add the roles that they can choose from.

Create skills

For each role a schedule manager includes in a job schedule, they have the option of specify skill requirements for that role.

While schedule managers choose which skills are required, administrators typically add the skills that they can choose from.

Create groups

Schedule managers can limit which other schedule managers can view the job schedules they create by applying group restrictions.

If your organization plans to use this feature, ensure groups are set up and assigned in Replicon.

Assign roles, skills, and groups to users

Once you’ve created roles, skills, and groups, ensure they’re assigned to the appropriate end users via their user profiles.

Set up notification options

On the Administration > Notifications System > Notifications page, ensure Employee: Schedule Modified is enabled, and that notifications are enabled in shift workers’ user profiles.
