Replicon and Polaris release notes Apr 7 - May 18 2025
Over the past few weeks, we launched:
- Option to have the Payroll Workbench automatically distribute overtime in Replicon
- TOIL pay codes can be linked to a time off type in Replicon
Plus:

- We fixed some issues and made some improvements
NEW FEATURES
Option to have the Payroll Workbench automatically distribute overtime to projects, tasks, and activities in U.S. pay rules in Replicon
We’ve finished rolling out an out of the box update to U.S. pay rules that allows hours worked to be automatically distributed against the projects, tasks, and/or activities the users worked on, using the correct pay codes (e.g. Regular vs Overtime hours), when exported via the Payroll Workbench.
Previously, customers could only achieve this functionality by using a custom pay rule.
TOIL pay codes can be linked to a time off type in Replicon
If you use time off in lieu (TOIL) in Replicon, for each pay code employees can select when allocating TOIL, you’ll soon be able to set an associated time off type. This change should make it easier for employees to submit TOIL, and should reduce errors.
MOBILE UPDATES
Update to Mobile for iOS
Replicon Mobile for iOS 1.1.636.0 is now available in the App store. It includes bug fixes.
Update to Mobile for Android
Replicon Mobile for Android 1.1.308.0 is now available in the Play store. It includes bug fixes.
IMPROVEMENTS
In Replicon,
- We’ve added a new default pay rule for Uzbekistan. For more information about updates to regional pay rules, subscribe to the Compliance Dashboard.
- We’ve added the following new columns to the Project Timesheet Field report: Timesheet Field Code and Client Name
FIXED ISSUES
In Replicon,
- If you create a job and assign it to users on the Schedule > Job View page, the start and end time fields for that job do not display if you navigate to the Employee View page
- If a user is assigned a holiday that uses the Specific number of hours duration, [object Object] displays for that holiday on their My Replicon > Schedule page instead of the number of hours
In Polaris,
- On the Quick Allocation page, when certain users view project allocations for a resource and then click Show More, the page keeps loading and no more projects display
- If you import a request using the Resource Request vs Allocation template, the requested hours may be incorrect once imported
In Replicon and Polaris,
- If you use the Previous Timesheet Including Time Data timesheet population method to copy a 24 hour entry, a 0 hour entry is added instead of a 24 hour entry
- If you use the Scheduled Hours timesheet population method to copy a 24 hour shift, no new entry appears in the timesheet
- An error message displays when a user attempts to view an expense receipt PDF using Replicon Mobile for Android

Over the past few weeks, we launched:

NEW FEATURES
Task dates can be set to roll up to their parent in Polaris
Previously in Polaris, when a child task’s dates changed, their parent task’s date range would never update to match.
So, if a child task was delayed or finished more quickly than expected, sub-task dates may have extended beyond the date range of their parent task. This created confusion and made project estimation and planning more difficult.
Therefore, we’ve launched a new setting that, when enabled, will automatically adjust parent-level dates to match their earliest and latest child task dates.
Auto Populate timesheets in ZeroTime™ in Replicon and Polaris
Replicon and Polaris’s ZeroTime™ feature enables automatic collection of work hours and activities that users can apply to their timesheets.
Now, ZeroTime offers an Auto Populate feature. This feature allows time and related data to be collected and allocated to timesheets without any manual intervention by the user, resulting in literally zero time spent populating the timesheet.
New approval date/time column in Time Entry Details report in Replicon and Polaris
We’ve added a Time Entry Approval Date/Time column to the Time Entry Details report template.
This column allows customers with multiple downstream ERPs, who therefore use reports to transfer data to their ERPs, to filter time entries essentially in real time, so hours can be billed for as quickly as possible.
Cost manager role in Polaris
We’ve added a new role to Polaris: Cost manager. Users assigned this role are allowed to approve, force approve, reject, reopen, and delete time and expense sheets.
This role is similar to the cost manager role we offer in Replicon, and will allow customers using it to more easily upgrade to Polaris.
Option to require supervisor approval to delete time off in Replicon and Polaris
We now offer a new option, assigned on a per-time off type basis, to require supervisor approval when a user attempts to delete a time off booking. This option can help you ensure things like timesheet validations and payroll aren’t affected by unexpected deletions of approved time off.
When enabling this option for a time off type, you can choose what type of time off bookings require approval. You can require approval when deleting:
- Approved Bookings Only or both Waiting for Approval, and Approved Bookings
- Only past bookings, only bookings up to a certain number of months in the past, only future bookings, or all bookings
With approval required, a user who attempts to delete a booking will see a Deletion Approval in progress message at the top of the booking dialog.
The supervisor will see the booking in their time off approvals table. When they approve deletion, the booking will be removed; If they reject deletion, it will return to its original approval state.
Note: The Time Off Audit Trail reports shows when a deletion is awaiting approval, and when it has been deleted. Also, notifications will be sent to approvers if a deletion is awaiting approval.

IMPROVEMENTS
In Replicon,
- We’ve added a Bookings must start prior to a date-based period time off booking validation rule that will primarily help support maternity leave compliance in some European countries. Users assigned this rule will be prompted to enter a date in a custom field when booking leave, and then the rule will check that the their leave begins some admin-configured number of days prior to that date.
- We’ve updated the Turkey pay rule to support multiple thresholds for daily overtime, and use of the user’s scheduled daily hours as one of the overtime thresholds
- We’ve updated our crew timesheets to support midnight crossover of time entries
FIXED ISSUES
In Replicon,
- When time off balances with a “carry up to” limit are carried over for some users, their new balances show precision errors in the hundredths decimal place
In Replicon and Polaris,
- On in/out time entry submission-based timesheets, if you submit an entry, and then you record an additional entry and click Clear All, the entry won’t be removed
- Timesheet list pages may not load with correctly filtered data after the user clicks the browser’s back button

Linked projects in Polaris
We’ve launched a feature that allows project managers to link projects that are related to each other. Links can be categorized as change requests, phases, or simply ‘relates to’.
Linking projects will allow you to instantly view hours, cost, and revenue totals for all linked projects, on the Linked Projects tab.
EXPENSE FEATURES
Ability to set a default reimbursement currency for a user’s expenses in Replicon and Polaris
We’ve introduced the option to set a default reimbursement currency on the Expenses tab in user profiles.
We’ve also added a User can override Expense Reimbursement Currency permission to expense templates which, when enabled, allows users to choose a different currency than the default.
Option to have only approved expenses available to bill in Polaris
We’ve added a Bill Expenses field to the Allowed Expenses & Estimates card in projects, which lets project managers allow only approved expense sheets to be available to bill.
BILLING FEATURES
Bulk billing in Polaris
Previously in Polaris, billing managers could only create bills one-by-one. This was time-consuming, especially for companies that bill monthly and therefore have dozens if not hundreds of bills to create in a short period of time.
So, we’ve now introduced bulk billing, that allows billing managers to select multiple billable amounts, for one or more clients. Bills are created in Draft state, so they can be reviewed and invoiced, as per your normal billing process.
Billing card for client’s billing defaults in Polaris
Project managers often need to configure several settings whenever they create a new bill.
To help simplify their process, we’ve added a Billing card for each client on the Summary tab of their client page. This card acts as a central location where managers can define all billing settings for that client, and those defaults will be assigned automatically to each new bill created for that client.

Update to Mobile for Android

IMPROVEMENTS
In Replicon,
- We released a new timesheet validation rule: Maximum Overtime Hours in a Period. This rule checks whether overtime hours exceed a specific limit you set within a rolling period.
- Crew timesheets now support time entries that cross midnight
- If you bulk assign shifts using the shift assignment upload feature, affected workers will now receive one notification for the entire date range you processed, rather than a notification for each day they’re scheduled during that period
In Replicon and Polaris,
- We’ve updated the Monthly/Yearly Accrual on Weekly Scheduled Days time off accrual rule. Now, this rule supports front loading and backloading of a scheduled accrual. For example, if you set an accrual date for Jan 31, based on the setting you choose, the balance can apply to either Jan 1 to Jan 31 (back loading) or Jan 31 to Feb 27 (front loading).
FIXED ISSUES
In Replicon,
- An error message may display if you view a user on the Payroll tab who is assigned the Meal Break Validation with Dynamic Penalty Pay punch validation rule, and that user took two meal breaks as required by the rule
- When using the Payroll Workbench, if you select the Totals - Hours and Pay columns, they may become unselected when you create a pay run
- In Time Workbench exports using the Current Hours column, select punch and time off entries may not be included when an export is re-downloaded. This can occur if the punch is re-paired with another punch or a day is re-added to a booking after the export is generated.
- If you create a shift and then edit it, the total shift duration may display using the incorrect am/pm for the end time. For example, if the shift runs from 10am to 4am (18 hours), when you edit that shift it may display a 6 hour duration. Note that the shift duration displays correctly in schedules and on list pages.
In Polaris,
- An extra, empty line item box may display in print versions of invoices generated by customers who upgraded from Replicon
In Replicon and Polaris,
- When reports that have custom ordering applied to numerical columns are exported to PDF or Excel, their custom sorting may be lost
- An You do not have permission to access this page error occurs when an administrator with their access restricted to a group (location, division, etc) attempts to access their Settings page
- A user logged in as a substitute for another user may, erroneously, be able to approve their own timesheet
- Reports based on Project Time Allocation template may show incorrect pay code and hours data if all hours are not allocated to the pay codes selected in the timesheet
- Users without administrator or resource manager role can change profile images of other user via the API
- If you split a note in ZeroTime, the time durations may not be automatically populated in the new notes

NEW FEATURES
Break reminder notifications in Replicon
We’ve added a Break reminder push notification that alerts punch employees that it is time for them to take a break.
This notification can help promote break schedule compliance, and can reduce the break penalties that are incurred, in some regions, when employees fail to take required breaks.
Project links on the Quick Allocation page in Polaris
We’ve added links to projects from the Quick Allocation page. This should help project managers access information about projects they’re allocating resources to.
PMs can see a link when they expand the resource to view all of their projects, then click the three-dot icon. They will only see a link under projects they have permission to view.
MOBILE UPDATES
Update to Mobile for iOS
Replicon Mobile for iOS 1.1.556.0 is now available in the App store. It includes fixes to some bugs, such as this one:
- When viewing the app shortcuts on the Home page, if you click Approve Time Off, the Timesheet screen displays; if you click Approve Timesheet, the Time Off screen displays

Replicon Mobile for Android 1.1.297.0 is now available in the Play store. It includes bug fixes.
IMPROVEMENTS
In Replicon,
- We’ve added a new time off booking validation rule: Prevent User From Booking Time Off Beyond Reference Period. This rule can be used to support the Polish requirement that workers must take compensatory time off for work done on an unscheduled or public holiday before the end of that reference period.
- We’ve added a new default pay rule for British Virgin Islands. For more information about updates to regional pay rules, subscribe to the Compliance Dashboard.
- Supervisors without scheduling permission can now access and create schedules in the new scheduling interface
- We’ve updated the Accrual Based on Service Period time off accrual rule. This rule now allows use of the user start or end dates when setting the Date Custom Field parameter, rather than only allowing a custom field to be used.
FIXED ISSUES
In Replicon,
- We’ve updated the Yearly/Monthly Accrual with Expiry & Rounding time off accrual rule to ensure the correct expiry amount is shown after a time off booking is made, and that time off can be used on its expiration date
- Project manager approvers may not be able to access timesheets with data for their projects via the Team > Approvals tab if the user is assigned to a group the PM is not assigned to
- If you add a shift from the old scheduling UI, workers assigned that shift receive an email notification showing “No schedules” are assigned
- In Replicon Mobile, if you view the punch details for a punch under Punch Team Status, the Client field is blank, even if the user assigns the punch to a project that has a client
In Polaris,
- Total Project Contract values shown on the Program list page may differ from values shown for each individual program
- When viewing a draft invoice, the Amount column values may be cut off and unreadable for certain currencies
- An Unknown Error occurs when a user attempts to open a project with a large number of entries associated with it
In Replicon and Polaris,
- If a user has Work Days - Time Off selected under Notifications, they may still be sent the Timesheet Overdue notification on a day when they are not scheduled
- Daily Fields and Timesheet Fields components may not display correctly in timesheets when they are populated with file-type dynamic custom fields
- On the ZeroTime notes list page, it can sometimes be difficult to select icons (make private, accept, delete, or split) from the quick actions pop-up
- If you add an Out punch at 12am on the first day of a timesheet period, that punch doesn’t display on the timesheet
- When a user is assigned to a task as part of a group (e.g. a cost center or a location), when they add time for that task to their timesheet, the task progress bar for that task only displays when the timesheet is recalculated
- A deleted pay code still displays in the Pay Code for Regular Hour is drop down list, and an error occurs if you attempt to select it
- On In/Out timesheets, the hours total for a day may flicker when a new time entry is added or modified
