Managing time punches

You can add or edit the time punches created using the CloudClock or the Replicon Mobile app.

You may need to add or edit time punches if the supervisor is not available to edit the punches or fix the punch errors for a department. You can also view the punch images and locations, and an audit trail of the punches. 

Adding a punch

To add a missed punch:

  1. Go to Payroll > Time Punches.
  2. Select the date range for which you want to add punches. You can click the arrows beside the dates at the top of the page.  Or, click the date itself, and select a day from the calendar that displays. 

  1. Find the employee you need to add a punch for. Use the filter, if necessary.
  2. Click the Add Punch link to enter the In, Break, or Out punch time, and click Add. Or, click the red In or Out icon to add a missing punch, and click Add.

Editing a punch

To edit or delete a punch:

  1. Go to Payroll > Time Punches.
  2. Select a date range that includes the punch you need to edit using the date fields located at the top of the page.
  3. Find the employee you need to add a punch in or out time for. Use the filter, if necessary.
  4. Click the punch you want to edit in the Time Pairs column. 

  1. Make changes to the punch and click Save. Or, to delete the punch, click Remove Punch.

Viewing punch images and locations

Depending on the user’s punch entry policy settings, a photo may be taken of the employee each time they create a punch. You can view these images and locations in which the punch was created to confirm that ‘buddy punching’ hasn’t occurred, and the employee was at the expected location when they punched.

Viewing details for a single punch

To view punch images and locations:

  1. Go to Payroll > Time Punches.
  2. Select the date range you want to view using the date fields located at the top of the page.
  3. To view punch images, click the Images toggle, located in the top, right-hand corner of the page.

If an image was recorded for a punch, it displays above the punch time.

  1. To view punch locations, click the Detail toggle.

  1. If a location was recorded for a punch, it displays under the punch time along with the name of the clock.

Viewing punches on a map

You may be able to view punches on a map, to identify where employees were when they made punches, and whether punches are valid (that is, made at their work site). To access the map view, go to Payroll > Time Punches, and click the Map toggle.

You can also identify whether punches were made at a valid location if the user is assigned the Punching at work location validation rule. With this rule assigned, a validation message will appear on punch timesheets if a punch was made outside of the user's assigned place.

Viewing an audit trail of punches and changes

For each user, you can view all their punches for the day, along with any edits that were made, who made them, and when. If punches are rounded, you can also view both the original time and the rounded time.

To view an audit trail of punches and corrections:

  1. Go to Payroll > Time Punches.
  2. Select the date range you want to view using the date fields located at the top of the page.
  3. Tap the icon beside the name of the user whose punches you wish to view.

A list of their punches for that day appears.
