Web TimeSheet database can be migrated from local (on premise) to SaaS environment either by setting up a free trial (to test the SaaS environment first with your data on it) or directly migrating your live data to production instance.

Minimum Requirement:

  • Web TimeSheet version should be above 5.1.
  • Web TimeSheet backup file should be of a Microsoft SQL Server origin and with a (.bak) file extension – e.g., Replicon_WTS_Backup.bak.
  • Oracle database backup (.dmp or .pmp) or Access database (.mdb) aren't supported by the tool ( Replicon Support will perform a manual migration in such cases).
  • Web TimeSheet Internal Authentication type is supported by default. If you are using NT Domain or AD Authentication type, please contact Replicon Support to perform the migration).

Note:
Web TimeSheet is successfully migrated to SaaS if the above minimum requirement is met. Web TimeSheet administrators need to contact Replicon Support if any one of the minimum requirement is not met and Support will perform a manual migration in such cases.
 

Trial Migration:

  • Take a latest backup copy (Full Backup) of the Web TimeSheet database.
  • Run the License to SaaS Migrator tool.
  • Point the tool to the Web TimeSheet backup file (.bak).
  • Choose the migration type as Trial.
  • Fill the contact details of the personnel who receives the new Web TimeSheet login details.
  • Click Migrate to start uploading the database to Replicon through a secured connection.

This will upload the database to our SaaS server. Upon completion of the database upload, a message pops up stating that the upload completed successfully. At this point, the database migration begins at our end and the uploaded database is upgraded from its present version to the latest version of Web TimeSheet, on the SaaS server. Once the instance is created, an e-mail is immediately sent to the contact with login details of SaaS.

Note:
?The time taken to complete the migration process depends on the size of the database and the version of Web TimeSheet.
During the trial period, users would continue to use their on premise Web TimeSheet instance as their production instance.

 

Production Migration:

  • Take a latest backup copy (Full Backup) of the Web TimeSheet database.
  • Make sure to disable the Web TimeSheet service running on the on premise server.
  • Run the License to SaaS Migrator tool.
  • Point the tool to the Web TimeSheet backup file (.bak).
  • Choose the migration type as Production.
  • Feed in the Web TimeSheet Activation Code which could be obtained from the on premise Web TimeSheet user interface (Administration –> Licensing section) or from the Account Manager in Replicon or from Replicon Support.
  • Fill the contact details of the personnel who receives the new Web TimeSheet login details.
  • Click Migrate to start uploading the database to Replicon through a secured connection.

This will upload the database to our SaaS server. Upon completion of the database upload, a message pops up stating that the upload completed successfully. At this point, the database migration begins at our end and the uploaded database is upgraded from present version to the latest version of Web TimeSheet, on the SaaS server. Once the instance is created, an e-mail is immediately sent to the contact with login details of SaaS.

Note:
The time taken to complete the migration process depends on the size of the database and the version of Web TimeSheet.

Caution:

  • Ensure to inform all the Supervisors/Approvers to either Approve or Reject all the future Time Off Requests that are still waiting for Approval. This is mandatory only if the present version of Web TimeSheet is 7.x.
  • Ensure to take a screenshot of all the Mappings that were done for integrating Web TimeSheet with QuickBooks.

Logging into Web TimeSheet (SaaS):

  • Users can login to Web TimeSheet through https://www.replicon.com/ and click on the LOGIN beside CUSTOMER ZONE located at the top right hand corner of the web page, or could directly use the URL login.replicon.com, or the URL that was provided to the contact, just after the License to SaaS migration completed successfully (e.g., https:// login.replicon.com/Default.aspx?CompanyKey=RepliconInc).
  • Login names & passwords will remain the same if the on premise instance of Web TimeSheet uses the default Web TimeSheet internal authentication type.
  • Only the password is case sensitive, the login name and company name are not case sensitive.
