Scenario:
The hourly payroll set under the user profile is used to pay the user only when working for the regular hours. The user is paid with a different rate altogether, to which a pay code multiplier can't be made use of. In such scenarios a User Defined Field can be created under the user profile level named as Overtime Hourly Pay and can be used for custom calculation within the reporting functions of Web TimeSheet.

Resolution:
The following steps are documented assuming that the overtime rule is already created in Web TimeSheet and is assigned to the respective user profiles.

  • Create a Numeric Type user defined field under the Users section:
  • Click the Administration icon at the top menu bar.
  • Select User Defined Fields from the left pane, under the Users/Departments category.
  • Click the Edit button (represented by a pencil and notepad icon) next to one of the <Unused> fields.
  • Fill in the Name of the user defined field as Overtime Hourly Pay.
  • Choose the Type as Numeric from the drop-down list.
  • Click Save at the bottom.
  • Fill in the new hourly payroll in the Overtime Hourly Pay user defined field:
  • Click the Administration icon at the top menu bar.
  • Select Users from the left pane, under the Users/Departments category.
  • In the List Users page, click the Edit button (represented by a notepad and pencil icon) next to respective users names.
  • Click the Advanced tab under the user profiles.
  • Scroll down to the category named User Defined Fields, below the Approvals category.
  • Fill in the new hourly payroll rate that is meant for overtime calculation.
  • Click Save at the bottom.
  • Report on the users overtime amount:
  • Open the User Hours Details report.
  • Click the Settings button on the report page. The Edit Report pop-up window appears.
  • On the Columns tab, scroll down to the bottom and click the Add button to add a new Custom Column.
  • Give a name to the new custom column as Overtime Amount and fill in the following formula,

OvertimeHours * UDF

  • Click Save & Run Report button at the bottom.
  • The overtime hours and the equivalent overtime amount, for the respective users is listed in the report.
