This article gives out the definitions of available fields in Time Off Liability report. The purpose of this report is to check how much cost/ money is owed to users. 

General section

  • Time Off Remaining (Hrs):
    Time Off Balance remaining in hours for the selected date in the 'As Of Date' filter. 
  • Time Off Remaining (Days):
    Time Off Balance remaining in days for the selected date in the 'As Of Date' filter. 
  • Time Off Taken (Hrs):
    Time Off taken in hours for the selected date in the 'As Of Date' filter. 
  • Time Off Taken (Days):
    Time Off taken in days for the selected date in the 'As Of Date' filter. 
  • Time Off Accrued (Hrs):
    Time off Accrued in hours from the time accrual cycle started in the policy set in user profile, until the date selected in 'As Of Date' filter. 
  • Time Off Accrued (Days):
    Time off Accrued in days from the time accrual cycle started in the policy set in user profile, until the date selected in 'As Of Date' filter. 
  • Deposited Banked Time (Hrs):
    Time off deposited in hours by the Over Time rules into 'Time Off in Lieu' time off type only since the last policy in relation to 'As Of Date'. For example, every year on 1st January, if the balance becomes zero, then when the report is run with value 'Today' in the 'As of Date', the value displayed for this field will account to the total number of hours which were banked since the beginning of the year until today. Note that the negative values entered by users if any, does not count.
  • Deposited Banked Time (Days):
    Time off deposited in days by the Over Time rules into 'Time Off in Lieu' time off type only since the last policy in relation to 'As Of Date'. 
  • Balance From Last Reset (Hrs):
    Time off Balance in hours which was present just before last reset in the policy. For example, let's say balance is set to zero every 2nd of the month in the reset policy, in this case the value displayed for this field will be the balance present on 1st of the month.
  • Balance From Last Reset (Days):
    Time off Balance in days which was present just before last reset in the policy. 
  • Cost of Remaining Time Off:
    This value is a multiplication of Time Off Remaining (Hrs) and the Hourly Payroll for date indicated in 'As Of Date' filter. 
  • Cost of Remaining Time Off (BC):
    This value is a multiplication of Time Off Remaining (Hrs) and the Hourly Payroll in Base Currency for date indicated in 'As Of Date' filter. Base Currency is available/set in Administration, System and Currencies location in administrator login. 
  • Last Reset Date:
    Indicates the date on which the policy was Set or Reset which ever occurred the recently in relation to the date in As Of Date filter. For example, if Policy Starts on September 1st 2010, Resets on September 15th every year, then the report run with the As Of Date set to September 7th shows September 1st as the Last Reset Date. Or if the report is run with the As Of Date set to September 20th then the Last Reset Date shows September 15th.
  • Current Hourly Payroll:
    Shows the Hourly Value present for a Date that is selected in 'As Of Date' filter. These rates are set in user profile. 
  • Bradford Factor (52 weeks):
    The Bradford factor is used by human resources departments to monitor length and frequency of employee absences. The field is calculated for the 52 weeks preceding the As Of Date selected in the report, using the following formula: Bradford Factor = (# of instances of time off taken)^2 * (# days taken off), with an instance being a day off or a group of consecutive days off using the same time off type. This was introduced from Web TimeSheet 8.8 onwards.
Department section
  • Is Primary Department:
    The department(s) associated to user, if user is listed in primary department the value is 'Yes'. If the user is listed in additional departments the value is 'no'. 
  • Department Name:
    Name of the department(s) user is currently located in the Web TimeSheet application. 
  • Department Code:
    Code(s) associated with the department(s) in which the user is present. 
Supervisor
  • Supervisor Name:
    Name of the Supervisor.
  • Supervisor Email:
    Supervisor's Email address.
Time Off section
  • Time Off Type:
    Time Off Type name such as Vacation, Holidays etc.
  • Time Off Description:
    Description supplied for the Time Off Types in the application.
User Section
  • User Name:
    Username of the Employee to whom the report is being run.
  • User First Name:
    First Name of the user.
  • User Last Name:
    Last Name of the user.
  • User Email:
    Email address of the user. Displays internal email address available in the user profile.
  • User External Email:
    Displays External Email address available in the user profile.
  • User Status:
    Displays whether the user is Enabled or Disabled in the application.
  • User Start Date:
    Start date of the user as set in the user's profile.
  • User End Date:
    End date of the user as set in the user's profile.
  • Employee ID:
    Employee ID of the user as set in the user's profile.
  • Login Name:
    Login name of the user as set in the user's profile.
  • Employee Type:
    Employee type of the user as set in the user's profile. 
  • Work Week:
    Work Week of the user as set in the user's profile. 
  • Current Hourly Cost:
    Shows the Current Hourly cost of the user set in the user profile regardless of 'As Of Date'. 
  • Current Hourly Cost (BC):
    Shows the Current Hourly cost of the user in Base currency regardless of 'As Of Date'. 
  • Current Hourly Payroll (BC):
    Shows the Current Payroll rate of the user in Base Currency regardless of 'As Of Date'. 
  • User Default Billing Rate:
    Default Billing rate of the user as set in user profile. 
  • Hours Per Day:
    Defines working hours equivalent as one day as set in the user profile.
