Scenario:
To set up Web TimeSheet to send a report that will tell if a User's Anniversary Date falls in the current month.

Resolution:
A report can be configured with custom columns showing the anniversary date. This report can then be scheduled to be sent out at beginning of every month. A hidden user defined field is also required for this purpose.

User Defined Field:
Setup a User level User Defined Field (UDF) by the name DateFormat(DoNotUse) (the type of the UDF should be Date Format).  This UDF is only for reference purpose and should have the Hidden option enabled.

Configuring the Report to add the first and second custom column: (refer attached images)

  • Log into Web TimeSheet.
  • Click on the Report tab in the top menu.
  • In the left menu select User Detail Report under the Administration Report section.
  • In the report, click on Settings.
  • Click on the Columns tab, make sure only the Username is enabled.
  • Scroll down to the Custom Columns section at the bottom.

    • Adding first custom column:

      • Click Add to create a custom column.
      • Name the column Anniversary Status and use the formula given below in the formula field.
      • If( Month(UserStartDate)=Month(Today()),"Anniversary this month","-")
    • Adding second custom column:

      • Click Add to create the custom column.
      • Name the column Anniversary Date and enter this formula:
      • If ( Month(UserStartDate)=Month(Today()),UserStartDate,DateFormatDoNotUse)
      • Click on Save & Run Report.
