Scenario:
One of the clients have revised the billing rates for all their projects from this point on and the projects comprise of only Project Rate and User Rate. All of these project rates and user rates, in the various projects of the client (close to 20 projects), need to be updated with an effective date, quickly and efficiently, without consuming much time.

Resolution:

There a two ways to achieve this quickly:

  • Through the CSV Import feature in the Web TimeSheet > Integrations page. (Refer the attached sample import templates for both project rate update and user rate update.)
     
  • Through the Web TimeSheet interface, using the Mass Edit: Rates in Web TimeSheet > Projects page.

    • Click the Projects tab at the top menu bar.
    • Highlight multiple projects by holding down the Ctrl key or Shift key combinations on your keyboard.
    • Alternatively, use the Select All button, found at the top header bar, to select all the projects in the active page.
    • Click the Rates button, in the Mass Edit section, at the bottom of the page. The List Rates page appears.
    • Make use of the Basic Filter at the top, on this page.
  • To update the Project Rate:

    • From the Rate Name drop-down box, choose the Project Rate drop-down item.
    • The page refreshes, listing all the project rates of their respective projects, that were previously selected.
    • Click the Edit Record button (represented by a notepad & pencil icon), found in each line item.
    • Update the Hourly Rate and Effective Date.
    • Click the Save button below. The Change Rates page appears.
    • Put a check mark next to Choose another set of rates in-order to save the changes and to go to the previous page (Not putting a check mark next to Choose another set of rates takes you to the main Projects list page).
    • Click Yes and the List Rates page appears.
    • Choose the next project rate that needs to be updated and follow the same procedures mentioned above.
    • If the project rate is a common rate for all the projects then put a check mark next to Select All in the List Rates page to select all the project rates in the current page.
    • Click the Change button below.
    • Update the Hourly Rate and Effective Date.
    • Click the Save button below. The Change Rates page appears.
    • Checking off the Choose another set of rates option is not necessary this time hence, let it remain unchecked.
    • Click Yes and the Project list page appears.
  • To update the User Rate:

    • From the Rate Name drop-down box, choose a specific <User Name> from the drop-down item.
    • The page refreshes, listing all the user rates that is associated to their respective projects, that were previously selected.
    • Click the Edit Record button (represented by a notepad & pencil icon), found in each line item.
    • Update the Hourly Rate and Effective Date.
    • Click the Save button below. The Change Rates page appears.
    • Put a check mark next to Choose another set of rates in-order to save the changes and to go to the previous page (Not putting a check mark next to Choose another set of rates takes you to the main Projects list page).
    • Click Yes and the List Rates page appears.
    • Choose the next user rate that needs to be updated and follow the same procedures mentioned above.
    • If the user rate is a common rate for all the projects then put a check mark next to Select All in the List Rates page to select all the user rates in the current page.
    • Click the Change button below.
    • Update the Hourly Rate and Effective Date.
    • Click the Save button below. The Change Rates page appears.
    • Put a check mark next to Choose another set of rates in-order to save the changes and to go to the previous page (Not putting a check mark next to Choose another set of rates takes you to the main Projects list page).
    • Click Yes and the List Rates page appears.
    • From the Rate Name drop-down box, choose the next <User Name> from the drop-down item and follow the same procedures mentioned above.
