Timesheet
In-Out Timesheet
Option to use In-Out timesheet for users to enter time based on start and end times
(rather than hourly totals, as in the Standard timesheet).
More real estate for time and expense entry (Internet Explorer)
A small arrow has been added to the top right corner of the Web TimeSheet side menu
to hide/unhide the menu, providing more "real estate" when viewing timesheets and
expense sheets.
Approval Lists
Approvers can customize their approval lists to display more (or less) information,
allowing approvers to potentially approve or reject timesheets without needing to
review the individual timesheets.
Administration
User Quick Add
The Quick Add feature allows you to add multiple users at once through a spreadsheet-like
format. You need to enter only the most basic user specific information (e.g., name,
login id, password) for Web TimeSheet to create individual profiles.
Mass Update
The Mass Update feature allows you to edit users' profiles en masse, avoiding the
need to open each user's profile to make a simple change.
E-mail/Login Name Formulas
A new mechanism allows you to set up formulas that will automatically generate users'
e-mail addresses and login names based on their first and last names.
"Copy From"/"Un-submit" Moved to Permissions
The system preferences for the "Copy From" and "Un-submit" features have been moved
to the Web TimeSheet permissions, allowing you to customize which users have access
to these features.
Configuration Permissions
New permissions have been added for the Config tab, allowing you to customize which
users have access to the configuration features (includes user preferences, change
password, change e-mail, and substitute users).
Expenses
Expense Interface
The Expense module has been improved to provide more functionality and allow easier
expense entry through a spreadsheet-like format (similar to the timesheet).
Taxes
Tax codes allow users to break down their expenses into net (pre-tax), tax, and
gross (total) amounts. Each tax code has its own calculation formula and can be
applied to individual expense codes (e.g., flat airport tax can be added to the
expense code for airfare).
Payment Methods
Payment methods allow users to specify how each expense was paid (Visa, cash, etc.).
Reports
New Reports:
Timesheet Audit Trail
A Timesheet Audit Trail report has been added to provide a means for tracking the
changes made to a timesheet. The report includes the date and time when the timesheet
was saved, the user who saved the timesheet, the timesheet period associated with
the timesheet, and the total hours logged in the timesheet when it was saved.
Expense Reimbursements
A new report has been added to allow tracking of expense reimbursements, including
when reimbursements have been paid.
Expense Billing Summary/Expense Billing Detail
Two new reports have been created in place of the old Expense Billing report. The
new reports will generate a list of clients to be billed for expenses incurred during
a selected date range. The summary report includes the projects against which expenses
were incurred and the billable amount. The detail report includes all the summary
information as well as a breakdown of each expense (net, tax, total amount).
Expense Raw Data Export
The Expense Raw Data Export generates a report of all expenses in the system and
the associated information (date, description, user, amount, reimbursement amount,
etc.).
Expense Status
The new Expense Status replaces the status report from 4.0 and contains the status
of each user's expenses incurred during a specific date range.
Expenses Awaiting Approval
The new Expenses Awaiting Approval report replaces the 4.0 version and contains
a list of all submitted expense sheets that have not yet been approved.
Architecture
Increased performance and scalability
Improved database pooling, boosting performance and scalability.
Enhanced Date Fields and Formats
A new mechanism has been implemented to validate the entries in date fields, minimizing
data entry errors.
Foreign Language Characters
Web TimeSheet 4.1 supports European language character sets included in the standard
Microsoft Windows package.
