Editing one or more user profiles

When you need to update user settings, you can edit one user profile at a time or you can edit multiple users at once.

Editing multiple users at once can save time and promote accuracy.

For example, you might use the mass edit feature to assign a new supervisor to a group of users when their old supervisor retires. Note that you cannot edit a user's unique information, like their user name, using mass edit.

You can also use our in-app data import feature to mass edit users.

Editing a single user's settings

To edit a single user:

  1. Go to Administration > Employees and Organization > Users.
  2. Find the user whose profile details you wish to edit. Use the search fields, if necessary, to narrow down the list of users.
  3. Click the name of the user.

  1. Update user profile fields as required. Select categories from the menu on the left side of the page to access additional fields.

Be sure to click the save button in each section or page you edit; a save button may only display once you make a change. Changes are not saved by default.

Mass editing user settings

You can edit almost all user profile fields via mass edit.

However, users' unique information (name, login name, employee ID, email address, password) is not available for mass editing. If you are using our new time off system, you cannot mass edit users' time off types and policies either.

To edit multiple user profiles:

  1. Go to Administration > Employees and Organization > Users.
  2. Enable the check box beside the name of each user you wish to edit.

Use the search fields to narrow down the list of users, if necessary.

  1. Click the Edit button.

  1. On the Mass Edit page that displays, update user profile fields. Select categories from the menu on the left side of the page to access additional fields.

  1. Make a change and click the associated save button.

Mass Edit Confirmation dialog displays. It shows a summary of the changes you've made, and lists the users the changes will be applied to.

  1. Click Save to confirm the mass edit.
  2. Continue making additional mass changes, as required.

I have a few re-hires and I'd like to enable their user profiles

If a user has an existing account and data, you can re-enable their account and user profile -- just be sure you have a license available, since their license may have been assigned to someone else.
