Exporting Time Off to your Outlook Calendar
* Exporting a Single Time Off Entry * Exporting Multiple Time Off Entries * FAQs about Exporting Time Off to Outlook You can add approved time off bookings and time off entered directly into a timesheet to your Outlook calendar. Only approved time off can be added to Outlook. Exporting a Single Time Off Entry You can export a single approved time off entry using a link within the Time Off Booking page. To export a single entry: 1. Open your Time Off Calendar. 1. Select Time Off from the top menu. 2. Select Time Off > Calendar from the side menu. 2. Click the approved time off entry that you would like to export. The time off form displays. 3. Select the Add this request to Outlook link. If this link does not display in the time off form, you either do not have permission to access this feature, or the time off has not yet been approved. A File Download dialog box displays. 4. Save the file to your local machine. This file contains the time off data to be imported into Outlook. 5. Open Outlook. 6. Double-click the saved file. An Outlook appointment that includes the time off data displays. 7. In Outlook, select Save and Close to save the appointment in your Outlook calendar. Exporting Multiple Time Off Entries All approved time off entries that fall within a defined time period from the Time Off Calendar. To export multiple approved time off entries: 1. Open the Export Approved Time Off to Outlook page. Select Time Off from the top menu. Select Integration > Export to Outlook from the side menu. 2. If you would like only your own time off to be exported, enable the Only include my time off check box. 3. Select the time frame that the exported bookings fall within. Choose from: * All Future - All bookings for time off that has not yet been taken are exported. * Current Month - All bookings that occur (even partially) within the current month are exported. * Specify Start and End Dates - All bookings that fall entirely within the defined period are exported. 4. Select Export. A File Download dialog box displays. 5. Save the file to your local machine. This file contains the time off data to be imported into Outlook. 6. Open Outlook. 7. Double-click the saved file. An Outlook appointment that includes the time off data displays. 8. In Outlook, select Save and Close to save the appointment in your Outlook calendar. |
